You will work broadly on administrative tasks throughout the Facility department. You will report to the Facilities Director and be part of a small team where everyone supports each other. There is an ongoing development focusing on structure, transparency, and efficiency within the department, and you will play a central role in this initiative. The role also involves independently managing small assignments and projects. You have a passion for order and detail orientation. You are accustomed to working independently, can prioritize quickly, and switch between various tasks. 

Main Responsibilities

Administrative tasks related to the property department, such as planning, coordination, basic procurement, monitoring ongoing matters, communication about ongoing activities and projects on the intranet, quotation work, etc. 

  • Actively participate in the development of processes and structures for the entire department. 
  • Create an annual cycle for the department's recurring responsibilities and tasks and actively participate in the development of action plans. 
  • Be involved in developing a process/routine for the efficient management of changes in space requirements. 
  • Responsible for monitoring and reporting key performance indicators in the sustainability area. 
  • Propose and implement activities that contribute to more efficient processes and work methods. 
  • Responsible for the introduction of new digital tools/systems that support developed processes and routines. 
  • Provide general administrative support to the department.

We are looking for someone who is accustomed to working independently and taking initiative. You are structured and detail-oriented, getting things done. Furthermore, you are a communicative, engaged, and flexible person who can collaborate with people of all kinds. Prioritizing and switching between different tasks comes naturally to you. It is important that you are humble and have a service-oriented approach. You are digitally curious and constantly see opportunities to streamline processes through digital tools and modern work methods. 

Requirements: 

  • Excellent knowledge of Office 365. 
  • Documented experience in working with digital tools. 
  • Proficient in both written and spoken Swedish and English. 
  • Experience in handling sophisticated administrative tasks. 

Other

The position is a full-time role, with a fixed-term contract for approximately 9 months. Starting in January 2024.
