About the New arena/Center

This new initiative housed at the SSE House of Governance and Public Policy (GaPP) aims to create a platform to support the sustainable integration of third-country nationals in Sweden. Together with key stakeholders in the migration and integration process, experiences and insights are researched and incorporated into a systemic perspective. The Arena project emphasizes the importance of collaboration at multiple levels and focuses not only on establishing employment but also on other dimensions of sustainable migration and integration. The Arena project research team will conduct research and disseminate science-based knowledge about how migration regulations, business models, and working conditions interact and effect integration and social sustainability. The Arena project is led by Associate Professor Lin Lerpold, together with Professors Laurence Romani, Karl Wennberg, and Örjan Sjöberg. Beyond the senior faculty, 5 postdocs will be recruited to complete the core team with 3 staff roles.

About the position

The Administrative and Financial Manager ensures that both the operational and financial aspects of the project runs smoothly, transparently, and in compliance with all relevant internal SSE and Funder requirements. 

Your responsibilities will include but not be limited to:

Administrative Responsibilities:

  • Maintain and update project documentation and manage internal communication 
  • Support the coordination of meetings, events and coordination of travel arrangements
  • Ensure compliance with administrative procedures and funder requirements.
  • Support onboarding and orientation of new staff or partners.
  • Oversee procurement of office supplies, equipment, services and manage inventory and asset tracking.

Budgeting & Financial Planning

  • Assist in the development of project budgets and prepare financial forecasts
  • Monitor expenditures and ensure alignment with approved budgets.
  • Maintain accurate financial records and prepare periodic financial reports for donors, partners, and internal use.
  • Ensure compliance with donor regulations, tax laws, and audit requirements.
  • Support internal and external audits by providing required documentation.
  • Process invoices, payments, and reimbursements in a timely manner.

Your profile

Your ability to multitask is essential, as no two days will be the same. Given the nature of the role, you have excellent interpersonal and communication skills, as you will interact with various stakeholders across the organization. You should be organized, flexible, and efficient, ensuring tasks are completed with accuracy and attention to detail. 

Qualifications

  • Previous work experience in administration, ideally within university, research administration, NGOs or other vital societal functions
  • Previous experience from working with budgets, financial records and reports.
  • Project management skills. 
  • Proficiency in Swedish and English 
  • Relevant academic education

Other

This position is a full-time position and will be on a special fixed-term contract for one year, with the possibility of extension.
